Minutes from the NYS Forum IT Greening Committee Meeting May 2, 2008
Results of the survey were passed around and will be distributed to the committee members after the meeting.
Ideas for next year's conference included:
- establish a date early, perhaps as early as next month;
- nail down topics early in the Fall;
- keep the conference one day, not two;
- exhibit hall for vendors reaffirmed;
- vendors exhibiting also prefer one day;
need to include time for attendees to visit exhibits;
should start lining up exhibitors early; - tie the conference to earth day;
- schedule the conference away from spring break;
- include the Q and A in the morning session as a planned event;
- add a case study of a NYS Agency;
- get a name speaker for both the executive reception and the conference even if it means paying for the speaker;
- key legislators should be targeted;
- email 2008 attendees to solicit session topic ideas, speakers and exhibitors for 2009;
- delineate the breakout sessions better according to targeted audience groups;
- Make registration simpler by filling in fields with stored data on individual
- Use less paper for badges
- Reach out to Encon for more staff
- Include the Executive Order
Suggestions were made for the coming year including:
- identify resources available;
- holding smaller events during the year (in addition to the conference);
- posting papers etc. on the web page;
- in light of the recent Executive order directing that each Agency identify a lead for Green initiatives, have this committee involved with the group identified by the Agencies.
- inclusion of more facilities people in the committee and at the conference should be a goal. The Forum may be able to reach out to the facilities people through the CIO's. Also need to identify and include vendors for the facilities area such as: Johnson Controls, EYP, Trane, etc;
- to reinforce the argument that savings, DOB should be on the committee and a meeting should be held with DOB, DEC, and OGS;
- nurture the relationship with the Governor's office;
- promoting changes of habit eg. PC changes can have a big impact;
- Effort to identify how much each agency pays for power to understand the impact savings will have
It was also agreed that the reception went very well and we should keep in mind how to build the attendance at that next year.
At the end of the meeting, Susan Andrews submitted her resignation due to other commitments and a quick election was held. In a very tight race, Peter Hilton narrowly won over Don Greene. Peter is demanding a recount. Congratulations to Don.
