Work Group Co-Chair Responsibilities
The creation of a work group by the Executive Council shall include a written statement of the purpose of the work group and the public and (IT Corporate Roundtable) private sector persons designated to be co-chairs. These designated co-chairs will serve as members of the Executive Council, as provided for in The NYS Forum's By Laws.
Co-Chair Responsibilities:
- Direct initiatives consistent with The Forum's Strategic Planning Session outcomes and/or other initiatives being pursued at the request of the Executive Council or state IT leadership. The 2008-2009 Work Group Accomplishments and 2009-2010 Work Group Projected Initiatives are included in this booklet and also available online at: www.nysforum.org.
- Schedule regular work group meetings of relevant content to members.
- Prepare meeting agenda, record attendance via sign-in sheet and record minutes which reflect the persons in attendance, agenda outcomes and action items. Minutes will be posted to the individual committee web page.
- Review and provide content updates to the work group web page, on a regular basis.
- Attend The NYS Forum Executive Council meetings and make periodic progress reports.
- Attend the NYS Forum program planning meetings and lead (or arrange for) topical presentations relevant to work group activities.
- When applicable, propose survey or other research and/or policy related efforts in support of work group activities or as a NYS Forum-wide initiative in priority areas.
- Maintain sufficient ongoing work group activity documentation to enable creating a summary of key contributions and progress for inclusion in The NYS Forum's annual report (
).
NYS Forum Staff Responsibilities:
- Provide assistance with arranging for meeting facilities and related support (AV, refreshment, etc.).
- Promote meetings through listservs and postings on The NYS Forum web site and online calendar.
- Create email listservs to facilitate work group communications. The attendance sign-in will serve to ensure that work group participants are included and updated on an ongoing basis.
- Make available phone conferencing capacity as an option to face-to-face meetings (Copper Conferencing).
- Create a work group presence within The NYS Forum website that reflects the purpose, leadership and key documents and presentations generated.
- Post meeting minutes to the individual work group web page.
- Maintain web files of work group proceedings, events and educational seminars.
- Determine what NYS Forum fiscal or other resources can be used in support of specific work group activities.
- Develop external relationships supportive of work group activities.
