  1. What is included in the price of exhibiting?

  2. How do I reserve an Exhibitor Display Booth?

  3. How will I know if my request for an Exhibitor Display Booth has been approved?

    Your request for an Exhibitor Display Booth will be followed up with a phone call and/or email within 24 hours of your request (Monday through Friday).

  4. How can I pay for my exhibit space?

    Once you have received a confirmation response that your request for an Exhibitor Display Booth has been approved, you will be able to make your payment online with Visa, MasterCard, Discover, or American Express. Also at this time, an Exhibitor Packet will be mailed to you and will include an invoice. You may submit your invoice through your typical payment process and send a check.

  5. As an exhibitor, will I be able to attend sessions?

    Please visit the Exhibit Staff Registration section. All exhibit staff needs to be registered in order to gain access to the exhibit space and to attend sessions.

  6. Do I need to register myself and staff?

    Yes. All exhibit staff needs to be registered in order to gain access to the exhibit space and to attend sessions. Please visit the Exhibit Staff Registration section.

  7. Where do I report upon arrival?

    Please report to the registration area at the base of The Egg which is located on the Concourse Level, just outside the Convention Hall. Follow signs to The Egg and NE Gallery. There, you will receive your name badge and will be directed to your reserved exhibit space.

  8. Will conference staff be available if I have any questions with regard to set-up?

    Yes. Any questions should be directed to the registration staff. They will make every effort to answer your question or contact someone who can assist you.

  9. Where can I send my exhibit space equipment?

    Clifton Park Rental Center will be handling drayage for our event. For shipping instructions and/or additional needs, you may contact them directly at (518) 877-7449 or online at http://www.cliftonparkrental.com.

  10. Where can I unload my exhibit space equipment, if I am bringing it myself?

    Your delivery and pickup must be scheduled with the Empire State Plaza Mail and Freight Security Unit. All deliveries and unloading of event materials must take place at P1 North prior to parking. Vehicles attempting entry to the Empire State Plaza Loading Docks without prior authorization will NOT be allowed access. 48 hour prior notice is required. Complete the Delivery Request Form (MS Word, 38 KB) and return it as instructed on the form. Photo ID is required upon entry.

  11. What is allowed at my exhibit space?

    The main purpose of the exhibit space is to provide you with a means to freely promote your products. You may give hand-outs, have raffles, etc. and put restrictions on the hand-out of those items such as collecting contact information, if you wish.

  12. When may I set up my exhibit space?

    Wednesday, April 29th from noon 'til 4:00 PM. You may also set up the morning of the event if you wish - April 30th from 6:00 AM on.

  13. Is security provided in the Exhibit Hall?

    Yes. Overnight security is provided for the evening of April 29th. It is advised that you do not leave laptops or other valuables in the Exhibitor Hall.

  14. What are the hours of the conference?

    Thursday, April 30th from 9:00 AM - 3:45 PM. Registration will begin at 7:30 AM.

  15. When may I tear-down my exhibit space?

    We request that you delay tear-down until the final session has ended. We have factored into the agenda, specific times to visit the exhibitors - times when there are no session conflicts. Please refer to the agenda for complete times. Past conference exhibitors have told us they received their best lead of the conference by staying until after the last session, because some attendees have returned to speak with exhibitors.

  16. What might I expect with regard to visitor traffic in the Exhibit Hall?

    We do everything we can to bring the attendees to you. Refreshments are served in the Exhibit Hall and specific times are built into the agenda to visit the exhibitors. During those times, there are no concurrent sessions being held. Engaging the attendees in conversation as they pass by will encourage them to stop and talk about what you have to offer.

  17. Will I be provided with an attendee list?

    Yes. However, we have to provide our attendees with the ability to opt out of having their information shared with exhibitors. Each exhibitor/company will be provided with one (1) hard copy list (of those agreeing to have their information shared) upon check-in. After walk-ins have been incorporate into the list, an electronic version will be mailed to the main contact of your exhibit space.

  18. Where do I park?

    A brochure detailing public parking places was provided in your exhibitor packet. The most convenience place to park is under the Empire State Plaza. Photo ID is required upon entry.
